Sectional Title and HOA Management

Summary of services:

Secretarial and Advisory Services

  • Preparation and circulation of notices, agendas and proxies for the Annual General Meeting
  • Arranging, attending and taking minutes for Trustee Meetings (4 x per year)
  • Maintenance of statutory and permanent records
  • Preparation and mailing of correspondence
  • Implementation of management and conduct rules
  • Advise Trustees on regulatory matters including special general meetings, quorum, power of attorney, voting rights and special levies (where applicable)

Administrative and Financial Management

  • Management of the entity bank account
  • Monthly financial reporting (full set of accounts)
  • Billing distribution and collection of payments relating to levy statements
  • Payment of and accounting for approved expenses and insurance premiums
  • Annual audit file preparation
  • Preparation of the Annual Budget
  • Liaising with attorneys appointed to manage legal collections (when applicable)
  • Preparation and issuing of Clearance Certificates

Maintenance and Repairs

  • Management of matters pertaining to the building and common areas
  • Obtain quotations for maintenance work
  • Liaise with security contractors
  • Liaison with maintenance and building contractors
  • Payment of contractors on trustee approval (all amounts up to R5,000 can be paid without written trustee approval)

Insurance Services

  • Assist Trustees to assess replacement values (inclusive of quotations, implementation and administration
  • Organising evaluations
  • Claims management
